With World’s worst regression period affecting the lives of billions across the world, organizations are making a great effort to reduce the total cost of ownership of an IT infrastructure. Here reduction of administrative overhead is the first endeavor taken by innumerous organizations. One path that often allures organizations is to reduce administrative costs by replacing systems that perform similar tasks such as GroupWare platforms.
GroupWare is an integrated application platform that meets an organization’s requirements for sharing information. On the other hand, MS Exchange Server is the platform for enterprise messaging and acts as a backbone for an organization that are developing and deploying complex groupware applications. To reduce total cost of ownership of GroupWare applications, several organizations unite their platforms by migrating from Lotus Notes application to Exchange and MS Outlook.
Lotus Notes is a collaborative environment, a network of databases whereas Exchange is a messaging-centric application based on folders. It is an enterprise messaging system with ...
... application development abilities. Lotus Domino is the server-side component of Notes architecture and the paradigm is built on building many server functions into Domino. Lotus Domino is Web Server, a database server and a messaging server in one package. Like Exchange, Notes database server manages semi-structured data (messages, tasks, appointment, notes etc). Majority of messaging and groupware systems comprise of four components which are a data definition, ability to perform queries and construct views on data, capacity to design and incorporate forms and container to provide basic storage mechanism for data.
GroupWare and Exchange have different terminology for the same components. Like Export Notes saves all organization data in different databases, every piece of information in a database called database or record. Exchange saves all data in folders; each record in folder is called a message or an item. Every folder is a part of unique Exchange public folder database. Therefore, migrating Lotus Notes to Outlook requires careful planning and understanding of application that you are migrating to. It is important to consider business role and technical complexity of the application.
Before planning the migration it becomes important for an organization to figure out whether you need to have interoperability or co-existence while migrating from Lotus Notes to Outlook or not. Although the details of migration may vary for every Notes application, the process for all of them expands over the four steps discussed below:

Classify and collect Information on Notes applications- For this, you can use MS Exchange Application Analyzer and generate a list of Notes applications in the organization and collect raw data from there.

Analyze collected data and plan migration accordingly- Analyze the data collected by you and generate reports to assist you in planning the migration.

Convert the design of Notes application to Outlook- Use Application Conversion Assistant for offering basic design conversion to Outlook.

Migrate from Notes to Outlook- User Exchange Application Connector for Lotus Notes for migrating data from Notes to Outlook.

At times, manual Lotus Notes to Outlook migration leaves you in a condition of disgust therefore; it is suggested to Export Notes using third party tools. These Lotus Notes to Outlook migrating tools are developed to meet the specific requirement of migration and therefore, these convert each and every email item present in the NSF to PST file within half the time taken during manual migration.
