Ask The Right Questions Before Booking A Banquet Hall For Your Wedding
Banquet halls are the perfect place for weddings, parties and all other types of social events. There are a growing number of hotels, restaurants and clubs that are nowadays providing people with unique and different banquet halls to host their functions and events. Depending on the location and on the size of the banquet hall, people choose a venue that suits their requirements. There are a number of points that one bears in mind before making a final decision on the right venue for a wedding or family function or corporate event. Asking the right questions before making the booking for the venue is really important. The following questions form the list of basic questions that you must ask before making the final payments.
1. The Size and the Facilities: Can the hall that you are going to book easily accommodate the number of guests invited for the gathering? If you are planning a large reception / ceremony, ask whether the facility has handled such type of gatherings before? Check if an attached room is available for the bride to change clothes or just freshen up during the ceremony? Does it have proper air ...
... conditioning?
2. Ask About the Availability of Date: Is the wedding hall or banquet hall available on the date that you're planning your event on? Ask if any other event is already booked on the same day? Large hotels organize 2-3 weddings in a day, so it becomes important to check if any hall is available as per your requirements on the desired date.
3. Ask about rules and restrictions: Some venues have strict policies when it comes to decoration, catering, bar service etc. Everything must happen according to the norms of the establishment. So, it becomes extremely important to know the details of the rules and regulations before you sign a contract, lest you are caught in an unpleasant arrangement where you cannot get the provisions that you had been planning.
4. Ask about the decoration and packages: Most of the banquet halls don't allow third party vendors and instead offer several packages that include decoration, catering and all other arrangements. So, always ask about these packages in advance and check whether it suits your decided budget? Check the portfolio in order to have a better idea about the decoration on your event date.
5. Ask about catering and food options: If the facility is a hotel or restaurant and will provide food for the event, make sure you check out the samples before finalizing the menu. Ask if same quality food will be provided on the day of reception/ceremony? If you want an outside caterer, ask in advance whether this is a workable option as most venue providers do not agree to this option.
6. Ask about advance deposit and hidden costs: It is important to know what percent of the total cost is to be submitted in advance to book the venue. Make sure there are no hidden costs so that you do not get a rude shock later when you have to make the final payments. Wedding cakes and party favors are at times complimentary. Ask your venue owner if they are.
7. Parking and overnight accommodations: This becomes important as most of the guests travel far and wide to make a presence at your event. In order to make it comfortable for them, ample parking space and overnight accommodation can be effective options. Ask if these are readily available? A parking attendant who can help with the guest car parking is an added plus. Make room for some unexpected guests because you never know what the last minute equations might turn out to be.
8. Bar Service and Liquor: In some cases, obtaining the bar license is up to the host. Some restaurants do not serve alcohol and do not provide bartenders too. In such a situation, these arrangements need to be made by the host themselves. If this is the case with the venue that you are booking, then make prior arrangements to ensure no lag in this area.
9. Wedding co-coordinator: Most of the facilities have wedding coordinators in order to control the staff and make sure all the arrangements are done on time. It's important to check if the venue is providing a professional on staff coordinator at no extra cost so that everything runs smoothly on the day of your celebration.
10. Handicap access: Not all halls are wheelchair accessible. It can be a problem and a source of great inconvenience if someone in your guest list is handicapped. Always check whether the venue has proper arrangements for such guests or not.
These are some of the most important questions to ask before booking a banquet hall. Wedding ceremony / receptions are one of the most important events in our life, so always consider practical things before signing a contract and finalizing the venue.
