It's important, when planning large corporate events such as conferences and conventions, to be clear on your requirements before you start. Some of your requirements will be obvious enough; you'll need a venue that's big enough to hold all your delegates, with suitable catering and technical facilities.

But there are other conference facilities that you might want to bear in mind before going ahead and booking your corporate event; issues such as accessibility, the availability of smaller meeting and breakout rooms for subgroups, registration areas for larger conventions, ancillary services such as business centres, and internet conferencing technology. If your technical requirements, in terms of IT facilities and projection equipment, are fairly standard, it is likely that most conference facilities will be able to meet your needs. Make sure that this is the case, though, and ask if there will be any technical support available on the day - because we all know that projectors never work first time. Be clear on what equipment is included in the price of venue hire. If you have specialist technical requirements, such as Internet conferencing, check to see if the venue can handle them; if you're going to be hiring extra equipment, make sure it will be compatible with what the conference venue already has in place.

One of the most important issues when choosing conference facilities is catering and banqueting. Requirements vary widely; smaller meetings may only require coffee and biscuits, and perhaps some sandwiches at lunchtime. At the other end of the scale, awards ceremonies and product launches often involve deluxe catering, sit-down banquets and full waiter service. Most conference facilities will be able to handle the logistics of even quite large groups of guests, but that is not to say you'll be pleased with the end result - so if you're planning a set-piece banquet for your corporate event, there's no harm in tasting the food beforehand! A consideration to bear in mind, particularly with larger conventions and exhibitions, is accessibility, both in terms of getting to the venue and also, for disabled attendees, getting into and around your chosen conference facilities. Again, most venues will be set up to comply with modern standards, but if you are aware that this may be an issue, flag it up earlier rather than later.

Lastly in terms of the suitability of your chosen conference facilities, remember that there are many different types of conference venues, and your convention doesn't have to be held in a hotel or conference centre. More and more companies are choosing different and unusual conference facilities such as sporting grounds, racetracks, country houses and museums. An increasing number of such conference facilities are springing up all over the country; they provide a useful revenue stream for venues of all kinds. The final issue to bear in mind is accommodation. If your conference or convention is going to take place over a couple of days, this is particularly important. Consider the ease of getting back and forth from the conference venue to rooms - this is obviously the main reason that hotels are such popular choices for conventions and seminars. But bear in mind that, particularly when dealing with larger bookings at off-peak times of year, you are in a strong position to strike a good deal with your chosen hotel, and they will often give you a significant discount in order to secure your business.
