Maximizing Your Business's Office Space

Space is an issue for any business. No matter what products or services you sell, you are always in danger of running out of room in your office. Whether it is due to planning your layout poorly, a boom that has required you to enlarge your workforce, or a filing system that is about to explode, there are ways to squeeze more out of the space you have.

Changing technology is creating new and exciting ways to maximize your space all the time. Gone are the days when bulky computers and all of the wires that go along with them demand large chunks of your precious office space. Changing technology will soon erase the need for paper filing systems all together. By maintaining electronic files, more and more companies are saving vast amounts of space. With no need for all of those filing cabinets and the reams of paper inside of them, space is cleared for other purposes. File rooms can be turned into offices and areas where papers used to be stored can become homes for more workstations.

You can also maximize your space by thinking a little bit about what your workers really need to perform their jobs. For example, employees who answer phones and do all of their work on the computer do not require a large work area. Large desks would be wasted on them. In contrast, a worker who has to refer to a few different files and would benefit from a lot of workspace but who does not contact clients may not need a phone. Providing one could take up valuable space on your employee's desk. Instead, you might consider providing a phone in an area where employees can access it in relative privacy. Giving workers unnecessary equipment serves no purpose—it just costs you money and eats space.

It's also important to consider grouping your employees by their needs rather than their job titles. People who collaborate often should be seated near each other. They also would benefit from workstations that are slightly different than those of your employees who work much more individually. Freestanding workstations that have the option of removing panels to create a group environment would be ideal for these groups. Instead of using a conference room or a large office to meet and collaborate, their individual workspaces can be transformed into a conference area of sorts.

Freestanding workstations are a good idea when thinking about space saving. They are much more flexible than panel-mounted cubicles and standard offices. Freestanding stations can be moved around with ease, adapting readily to your changing needs. Some businesses are getting rid of offices all together and are just using modular workstations that give them the flexibility to change with the times. This way, if new technology makes the way you're operating your business today drastically different from the way you need to operate a couple of years from now, you will be able to adapt with ease.
