Finding a suitable venue for your event can take much time, energy and know how. What are the ways you can save time, energy and money in the process, and how can you be sure you've made the right selection when it comes to the crunch?

ACCESS TO THE VENUE

Many a time, groups have been caught out by this very aspect of event planning !!

Never assume that it's going to be ok to load your gear at the venue the night before the event or even the afternoon of the event. This requirement must be discussed right at the beginning of your enquiry to determine the set up restrictions and to ensure that the venue is aware of the timeframe and space required to provide a smooth setup.

Ask:

Is the venue available for early set up?
Will there be a room hire fee for overnight lockup?
Will the room be locked adequately?
Will the equipment be adequately insured? By whom?
Will there be adequate time and staff for AV testing and setting up IT equipment where necessary?

... Is there a deadline for pack down?
Will there be costs if this is not done on time?
