Some Good Ways To Change Your New Office Into Less Of A Paper And More Of An Eco-conscious Office
In every office there is someone who is obsessed with the latest tech and the one in ours predicts that our office is going to become a paperless office, an office that is aware of the impact we are having on the environment. At present we don't know if this is going to come true but most offices can cut back on paper and reap the many rewards it can offer.
There are several reasons why an office should cut back, one of these is the large amount of money you could save, then there are all the trees you could be saving and also because low-tech paper is not the safest way to keep private data protected.
So for companies moving to a new office then here are some pieces of advice to make that particular office a paperless and modern office.
1) Firstly, use emails rather than paper letters. 2) Journals, marketing materials and even the local daily paper can all be read on the internet, so there is no need to have paper copies. In fact, this use of paper is perhaps the most inefficient use of paper that there has ever been. What I mean by this is that 99 percent of the time papers and magazines just end up in the trash, so it is just a big waste of paper. And if you choose to have a digital copy sent by email then you can utilise the content of journals in a report or presentation more easily than if you had a paper copy.
3) The key is progress, not perfection. This is because it can be pretty difficult to make paper completely redundant in the average office, so instead you should just try to minimise its use as much as possible. What you should do is have a realistic picture in your mind of what you can achieve rather than trying to eliminate the use of paper in the office with some sort of paper-dictatorship, which will probably just demoralise your employees and make them hate working for the company.
4) Use an office white board for making notes. Office workers always have something remember so they make a note of it and usually this is on a yellow post-it but in a reduced paper office you might to buy a whiteboard and use that instead. This is because a whiteboard is reusable and is a good way to brainstorm with your workers and flesh out some of their ideas. All of which means a whiteboard can be the ultimate way to save a lot of money on the wasteful usage of office paper.
5) Also remember that reducing paper usage doesn't just mean stop using A4 paper. It may also mean using an air hand-dryer in the toilet instead of paper towels and by replacing paper throw away cups with real and reusable mugs. There are lots of little ways that you can cut back on paper usage, it may even be as easy as designating a corner of the office for the proper disposal of paper.
Recently one of the firms we deal with decided to move to an Austin commercial office and they really made the most of the change to implement new procedures regarding the use of paper. This saved them a lot of money and even made their workers more efficient with office equipment.
