10 Simple Steps For Planning A Corporate Event
Corporate events at history museum event rental allow you to showcase a variety of different aspects of your company. They can be entertaining, educational, or a way to showcase a new product or major development in your company.
But how does one go about organizing a corporate event? With our corporate event checklist, we break down some simple ways to make it memorable.
Step 1: What Kind of Corporate Event Should You Organise?
There are seven different types of major corporate events:
1. Holiday party
2. Networking event
3. Charity event
4. Business dinner
5. Product launch
6. Seminar/professional development presentation
7. Trade show
Keep in mind that your decision on which type to use here will serve as the foundation for the rest of your event's planning.
That's not to say there aren't other types of events or that you can't mix and match (for example, a charity event that also serves as a holiday party). Don't feel obligated to fit your event into one of these categories.
Step 2: Come Up with a Theme
This step is optional ...
... because not all events require a theme, but it can really help to add an extra layer of atmosphere to your event. However, don't feel obligated to create an original theme. Depending on your objectives, having nicely set up seating and tables with some complementary colors may be sufficient.
Step 3: Compile a Guest List and/or Target Audience
If you only intend to keep the event employees, this step is much simpler. When making a guest list, just make sure to include everyone from every department in your company.
Otherwise, consider how you'll reach your target audience and what needs they'll have once they arrive at your chosen venue. This will prepare you for narrowing down decisions in subsequent steps.
Step 4: Put Together a Rough Budget
Planning without a budget is planning to spend far more than you intended! It doesn't have to include everything, but it should include the essentials for your event, such as a venue space, seating, vendors, and any entertainment.
Step 5: Select a Date
It's now time to choose a date and time for your event. It's also a good idea to plan for a couple of backup days in case weather or other factors make hosting impossible.
Step 6: Select a Venue
In general, you should look for a venue that has all of the amenities your guests will require, as well as enough space for the maximum number of guests and any additional vendors or equipment that will require space.
Remember that you want your guests to feel at ease, not crowded.
Step 7: Choose Vendors, a Caterer, and Equipment Rentals
What you require at this point in your event planning will be highly specific to the type and length of your Atlanta art museum events. If you're planning a day-long event, or one close to a major mealtime, you should think about hiring a caterer so your guests aren't distracted or hungry.
Otherwise, vendors and equipment rentals will be determined by factors such as the number of booths you wish to set up. If you're giving a presentation, don't forget about audio equipment and speakers.
Step 8: Schedule All of the Logistics
The difficult part now is scheduling with vendors and planning your event details and time slots. Allow for 'buffer' times between event presentations in case something goes wrong.
Remember to factor in the time it takes to set up and take down any equipment you've rented for your event.
Step 9: Set Up Marketing Campaigns
If your corporate event is internal, this is an optional step; however, if it is not, marketing your event will be a major component when planning it.
Consider the best platforms for reaching your target audience and find ways to communicate with them via social media and email newsletters. You could even contact some of your speakers to see if they could share it on their channels as well for even more exposure.
Step 10: Set Up Post-Event Cleanup and Send Out Surveys
You probably don't want to be the only person cleaning up after your event, so make plans for who will clean up and any final arrangements with your venue for closing up.
If you want feedback, make sure your guests understand how and where to complete any surveys you've set up. This way, you'll know how to make an even better event the next time.
That's all there is to it! Your corporate event has been successfully planned. Viewing your event through the eyes of a guest will help you miss any details you may have overlooked. As you can see, by following our helpful steps, event planning does not have to be a daunting task that fills you with dread.
