Removing Outlook Duplicate Entries Existing Due To Hotsync Operation

Duplicate items in MS Outlook are quite common. Duplicate email items in Outlook occur due to restoration of Public folders from backups, synchronization with PC PDAs, BlackBerry, incorrect Outlook rules and other such situations. In this article we would be discussing Outlook duplicate entries due to HotSync operations.

A HotSync operation with MS Outlook usually generates duplicate entries of calendar events, contacts, memos or notes, etc. If you go with manual removing of such duplicate entries would be a complete waste of time. You can use third party application to remove outlook duplicates instantly.
However, you can go with an inbuilt method of removing duplicates in Outlook. The following procedure is one method of deleting multiple duplicates within Outlook.

1.First of all, navigate to the section in Outlook where you have duplicates contacts, Calendar events, Tasks, or Notes.

2.Click on the menu item View, Current View and select a view that has by in the title, like By Category.

3.Right-click on the column header of the table ...
... that appears and select Group By Box.

4.Group By This Field, and the Group By box will drop down above the table.

5.Drag-and-drop ALL of the Group By selections out of the Group By box, thereby removing them as Group By fields.

6.Right-click on the column headers again.

7.Select Field Chooser.

8.Click on the Field Chooser drop-down control at the top of the Field Chooser dialog, and select All fields, where is the part of Outlook you're fixing.

9.Find the Created field, and drag-and-drop that field item onto the column headers for your table.

10.Click on the newly created column header to sort the data by that value.

11.All duplicated contact entries will now be sorted near the top of the list, since they will have the same, recent creation date.

12.Proceed to remove everything that looks to be a duplicate from the time and date of the synchronization that caused the duplications to appear.

13.You will have modified your By Category view in Outlook. To repair this, drag-and-drop the Category column header back into Group By box above the column headers.

14.Return to your normal view by going to the menu item View, Current View, and selecting the first item in that menu (which is the Outlook default view for that section).

This method can assure you complete removal of Outlook duplicate entries.
