If you are a healthcare professional you will be used to having to dictate your notes into a digital dictation device. The resulting dictation is then sent to a professional medical transcriptionist to be typed up. What a lot of these professionals may not realise is that they may be making life more difficult for the transcriptionist by not following good practice when dictating. If you are a healthcare professional who falls into this bracket then it may benefit you to read on.

Spending time having to read through every transcript you get back to check for errors is not something you want to be doing if you are a doctor or surgeon who is pressed for time all day every day. This can be prevented by having a good dictation method in place that makes life easier for the person typing it up.

All that is required is a small bit of organisation and preparation to make sure you have a decent method of dictation to give you a better chance of receiving more accurate transcriptions back. Medical dictation is important and you should treat it that way so the first tip is that you should always allocate a set amount of ...
... time every day to dictation. At this time you should have all the documents you need to hand so that you can refer to them easily.

The next thing to make sure of is that you actually know how to operate the dictation device correctly as this will save you time. Make sure you are in a quiet place when you dictate as background noise is easily picked up by the device and will make life harder for the transcriptionist. Also make sure you are calm and relaxed when you make the dictation as if you are not you will naturally speak more quickly and less clearly.

Other tips include making sure you press pause when taking breaks, making sure you are not too close to the microphone on the device when you speak and ensuring that you spell out the names of difficult words as you go along. Also help out the transcriptionist by telling them when the recording is to start and when it is ending. If you take all of this into account, you should receive back much more accurate transcriptions.
